Event Subscriptions

The Event Subscriptions screen lets you determine which notifications are active but optional and which are active and mandatory. After making these decisions, employees can set up which optional event subscription notifications they receive and how they want to receive them. Mandatory event subscriptions apply to all employees who meet the criteria of the event. For example, if you have a mandatory event subscription that alerts employees when a self-scheduling period opens, the notification goes only to the employees affected by the self-scheduling window, not to everybody. In addition, mandatory event subscriptions do not require employees to intentionally subscribe to them; they are automatic.

Event subscriptions let certain employees know about employee, supervisory, or managerial circumstances. Some event subscriptions only generate a message if a process is successful or if it fails, such as when the scheduling process is run. Other subscriptions generate a message whenever there is an occurrence, such as when the self-scheduling window is open.

The event subscription options set up on this screen are the defaults for all users. However, the actual options visible to individual users in Preferences > My Preferences > Event Subscriptions and the notifications received are determined by the authorization roles and data access assigned to them. For example, all users may have a Mandatory event subscription to certain Supervisor notifications, but only those users who are assigned as Supervisors and have employees reporting to them will actually receive these notifications.

Supervisors and managers receive notifications about their employees through one of two methods: Supervisor Assignment or employee data access.

Setting preferences for event subscriptions

To set preferences for event subscriptions, complete the following steps.

  1. Navigate to Preferences > System Preferences > Event Subscriptions.

  2. Expand a card and select the methods that are active and those you consider mandatory.

    Or you can leave both options cleared if you do not use a certain event subscription.

    Note that some event subscriptions have jobs in their descriptions (such as Manager or Supervisor) and will only be sent to employees with the corresponding authorization roles.

    • Active: Enables the event subscription

      These event subscriptions are live but are optional to subscribe to.

    • Mandatory: These notifications are required and will be sent to all affected employees.

  3. Click Save.

Note  

The event subscription types available to you depend on your authorization roles. Because of this, some event subscription types explained here may not be available to you.
